General Duties

Manage and execute all administrative tasks required to support the CEO efficiently and effectively, Interface with other department staff to carry out CEO’s requests.

Deliver timely reminders to the CEO concerning meetings, deadlines, and other commitments.

Serve as the primary point of contact for internal and external constituencies on all matters about the CEO.

Scheduling and calendar management

Solicit and review meeting requests, prioritize appointments, and coordinate scheduling with internal and external parties.

Identify and reserve meeting space and arrange off-site meeting locations.

Regularly review scheduled meetings, re-evaluate priorities, and modify previous scheduled appointments.

Consistently monitor email and other communications to ensure that all scheduling is coordinated, logistics confirmed, and appropriate parties informed.

Ensure the CEO’s schedule is followed and respected and Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.

 

 

Travel planning and expense reporting.

 Arrange complex and detailed travel plans, travel documents, and itineraries. Research and present airline, hotel, and other travel options. Complete travel expense reports for the travels of the CEO.

Meetings and Training

Greet CEO’s visitors and ensure meeting rooms and video and voice communications are prepped.

Compile support documents for internal and external meetings including presentations and reports for CEO.

Organize CEO’s correspondence, presentations, and meeting notes. Maintain records of CEO’s speaking engagements and participation in conferences and external events.

Organize CEO’s training/seminars with the assistance of training manager.

Information and records management

Maintain data integrity of database through timely and accurate data entry.

Prepare, maintain, and safeguard all the executive meeting minutes and other important documents.

Other roles:

Provide event management support including VIP management and organizing efforts.

Provide support to other projects/duties as assigned for the overall benefit of the department and the organization.

During the absence of department staff, scan correspondence, e-mails/letters in order to channel replies for the appropriate focal point, when necessary, and coordinate meeting representation where necessary.

 

Key Responsibilities

 

GCE/IGCSE A level English/CPE/CAE qualification in English and Good communication skills in both verbal and written English and Dhivehi; AND minimum 1 year of experience in a similar position OR specific experience in serving the executive management.

 

Fluent communication skills, excellent organizer, efficient time management, and people management skills.

 

Effectively prioritize and execute tasks in a dynamic environment and should be a person of high integrity, and ethical and moral standards.
