Responsibilities
|
- Coordinate the recruitment and selection process, including job advertisements, screening applications, scheduling interviews, onboarding, and orientation of new employees.
- Maintain and update employee records, HR databases, attendance records, leave records, and personnel files, ensuring accuracy and confidentiality.
- Assist in payroll preparation by verifying attendance, overtime, leave records, and other payroll related information.
- Administer employee benefits, leave management, medical insurance, and other HR related processes in accordance with company policies.
- Support the implementation of performance management, employee engagement, learning and development, and staff welfare initiatives.
- Ensure compliance with the Employment Act, company policies, regulations, and other applicable labor laws.
- Prepare HR related reports, employment contracts, appointment letters, confirmation letters, warning letters, memos, and other official correspondence.
- Handle employee inquiries regarding HR policies, procedures, benefits, and employment-related matters while maintaining confidentiality.
- Coordinate employee training programmes, workshops, and professional development activities.
- Assist in developing, reviewing, and implementing HR policies, procedures, and standard operating procedures.
- Manage office administration, including filing systems, document management, procurement of office supplies, inventory management, and general office coordination.
- Coordinate meetings, prepare meeting rooms, arrange refreshments, and provide administrative support for meetings and events.
- Coordinate travel arrangements, accommodation bookings, transport, and other administrative logistics for staff and official visitors.
- Liaise with government authorities, regulatory bodies, vendors, service providers, and other external stakeholders on administrative and HR related matters.
- Monitor office facilities and coordinate maintenance, repairs, and services to ensure a safe and efficient working environment.
- Maintain records of office assets, equipment, furniture, and inventory, ensuring proper utilization and accountability.
- Support procurement processes by preparing purchase requests, obtaining quotations, coordinating with suppliers, and maintaining procurement records.
- Ensure proper record management by receiving, registering, scanning, filing, archiving, and distributing incoming and outgoing documents.
- Maintain confidentiality of employee information, company records, and other sensitive organizational information at all times.
- Identify opportunities to improve HR and administrative processes and recommend practical solutions to enhance operational efficiency.
- Perform any other duties and responsibilities assigned by the Head of Department or Management.
